Requests Report

Usage

This report is used to report on all staff requests within a date range and their status for action if necessary.


Report Parameters

All Staff: Ticking the All staff box, runs the report on every staff member stored in Staff.Care that matches the report criteria.
To add single or multiple specific staff members, type the name of the staff member you wish to search in the search field and select the staff member/s by clicking on the auto complete drop down menu.

Units: When selected the report will not filter by primary unit (unless you sort by ‘Unit’), however this can be unchecked and individual units selected from the list allowing you to filter by primary unit.
Shifts: When selected the report will not filter by Shift type (unless you sort by ‘Leave/shift’), however this can be unchecked and individual shifts selected from the list allowing you to filter by Shift type.
Contract types: Captures staff members based on the staff type set up in Admin.
Ranks/grades: Capture staff members who have the rank/grade assigned to their contract during the reporting period.
Leave codes: As with primary units, if this is selected the report will not filter by Leave type (unless you sort by ‘Leave’), however when unchecked individual leaves can be selected from the list allowing you to filter by the leave type.
Staff types: Captures staff members who have the selected staff type(s) on their current contract within the reporting dates.

Request dates
Start Date: The date to capture report parameters from.
End Date: The date to capture report parameters to.

Date of leave/shift: Captures requests taking place within the reporting dates.
Date of request made: Captures requests which were requested between the reporting dates.

Options

Request types
Leave requests: Only capture leaves requests within the reporting period.
Shift requests: Only capture shift requests within the reporting period.
Both: Capture both shift requests and leaves requests within the reporting period.

Statuses:
Pending: Captures requests which have a status of ‘Pending’.
Approved: Captures requests which have a status of ‘Approved’.
Refused: Captures requests which have a status of ‘Refused’.
Overridden: Captures requests which have a status of ‘Overridden’, overridden status are created when requests are deleted from the rota and overridden with a shift.

Format
Summary: Totals number of requests within the reporting period and displays the % of pending, approved, refused and overridden.
Detailed: Displays each request reported on within the reporting dates, captures start times and end times and time values reason etc.

Review Status
Unreviewed only: Captures requests which haven’t been updated (status change).
Reviewed only: Captures requests which have been updated (status change).
Both: Captures requests non-dependent on status update.

Day by day status
Unconfirmed: Captures requests which haven’t been closed off.
Taken: Captures requests which have been closed off.
Not taken: Captures actual deleted requests.

Output times as decimal: Time values for transaction are outputted as decimals e.g. 7.5 instead of 7.3.
Display Payroll number: Payroll code stored with a staff member’s record can be output.

Sort order
Request type: Sort requests by leave request then shift requests.
Staff: Sorts the list of staff members leave requests by staff code alphanumerically.
Rank/grade: Sorts staff members based on the order of ranks/grades in the Admin menu.
% pending: Sorts requests based on highest/lowest % of pending requests per staff member.
Status: Sorts requests by approved, pending, refused and overridden.
% approved: Sorts requests based on highest/lower % of approved requests per staff member.
Taken status: Sorts requests by Taken, Unconfirmed and Not taken.
% refused: Sorts requests based on highest/lower % of refused requests per staff member.
Date: Orders the requests by date of request per staff member.
% overridden: Sorts requests based on highest/lower % of overridden requests per staff member.
Leave/shift: Sorts leave types per staff members.


Running the Report

Complete all report parameters including the date range.

If you want the report in CSV format tick Output to File.
If PDF output only is required, the Output to File check box does not need to be ticked.
Click GENERATE.

The report is complete will be displayed at the top of the page .

Click VIEW REPORT to view the PDF output.
Click OPEN FILE to view the CSV output.
